Wedding TERMS & CONDITIONS

Payment

A non-refundable 20% deposit is due within 14 days of returning this contract and will secure your booking. Your date will be held for these 14 days. A reminder email will be sent 2 days before the deposit is due. If the deposit has not been paid by the due date, the booking is forfeited.

When the deposit is paid, Emily will email the Couple an invoice for the remaining balance, which is due no later than 14 days before the wedding date. A reminder email will be sent 1 week before the remaining balance is due. If the remaining balance has not been paid by the due date, the booking and the deposit are forfeited.

Communication

Email (emily@emilydevegt.com) is the preferred method of communication. Emily will reply to any email from the Couple within 7 days of receipt.

Travel Fee

A travel fee applies to weddings in the North Island that are further than 50km (by road) from Stratford, Taranaki, and to weddings in the South Island.

In the North Island, the travel fee is $25 per 25km or part thereof from Stratford, Taranaki.

In the South Island, the travel fee is $250 + $25 per 25km or part thereof from Picton.

The distance used is the one-way distance calculated by Google Maps.

Timing on the Day

Set up time must be confirmed 1 month before the wedding date and must be between 2 and 36 hours before the music start time. Set up takes approximately 1 hour.

Pack down time must be confirmed 1 month before the wedding date and must be within 12 hours of the music start time. Pack down takes approximately 30 minutes.

Ceremony Package: Ceremony start time must be confirmed no later than 1 month before the wedding date. The music will start approximately 30 minutes before the ceremony start time.

Ceremony Package: There must be a designated person to communicate to Emily that the procession is ready to begin. When given that cue, Emily will finish the song she is playing and begin the processional song.

Reception Package: Music start time and first dance time must be confirmed no later than 1 month before the wedding date.

Reception Package: There must be a designated person to communicate to Emily that the Couple are ready for their first dance. When given that cue, Emily will finish the song she is playing and await the announcement of the first dance.

Cocktail Package: Music start and finish times must be confirmed no later than 1 month before the wedding date.

Emily will email the Couple a reminder 7 days before the 1 month deadline if any times are yet to be confirmed.

Changes to Date

If the wedding date changes up to 3 months before the originally booked date, and if Emily can accommodate this change, there will be no extra charge and the deposit will be transferred to the new date.

If the wedding date changes within 3 months of the originally booked date, and if Emily can accommodate this change, the original deposit is forfeited and a new deposit must be paid to secure the new date.

If Emily cannot accommodate a change in date made at any time, the original deposit is forfeited.

Any change to the wedding date must be communicated by email.

Changes to Location

If the wedding location changes at any time, and if Emily can accommodate this change, there will be no extra charge except for any additional travel fees.

If Emily cannot accommodate a change in location made at any time, the original deposit is forfeited.

Any change to the wedding location must be communicated by email.

Changes to Other Details

Most details may be changed up to 1 month before the wedding date.

The following details may not be changed after 3 months before the wedding date:

Ceremony Package: song selection, Keepsake add-on

Reception Package: song selection, Keepsake add-on

Any change must be communicated by email.

Indoor Venues

A suitable performance space must be provided: approximately 2 metre by 2 metre area with a flat floor, clear of furniture.

Power must be available within 5 metres of the performance space.

Outdoor Venues

A suitable performance space must be provided: approximately 2 metre by 2 metre area of flat ground, clear of furniture, plants, and other objects.

Power must be available within 5 metres of the performance space.

On a sunny day, adequate shade and wind shelter must be provided.

On a rainy day without an alternative wet weather location, Emily reserves the right to cancel the performance without refund.

Parking

There must be a park available for Emily’s car within 200m of the venue.

Equipment

Emily’s microphone and sound system is only to be used for Emily’s performances. No part of the sound system (including speakers, instruments, microphones, mixers, leads, stands) may be used by anyone other than Emily.

Photography & Videography

The Couple, their hired photographer/videographer, and their guests may photograph and/or film Emily during performances. Emily may photograph and/or film parts of the performances for promotional purposes.

Keepsake: Digital Item Delivery

If you have chosen the Keepsake add-on, your recorded song will be sent to the email address you have provided the day after your wedding date.

Cancellation Policy

All deposits are non-refundable.

A booking cancelled by the Couple within 14 days of the wedding date must still be paid in full except in exceptional circumstances, reviewed on a case-by-case basis.

A booking cancelled at any time by Emily will be refunded in full, except in the case of an outdoor venue on a rainy day without an alternative wet weather location.
